MyCase MCP vs Zapier: Two Ways to Connect Claude to MyCase

An attorney at a Brooklyn firm told us how she chose: she googled "MyCase MCP", found our connector and Zapier, tried to evaluate both, and picked one. Her reasoning was sound but she had to piece it together alone. This is the page she should have found.

Both tools connect MyCase to the outside world, and that is where the similarity ends. They answer different questions. Zapier answers "when something happens in one app, how do I make something happen in another?" An MCP server answers "how does my AI assistant work with my case data in a conversation?" Most firms asking about Claude and MyCase are asking the second question while evaluating tools built for the first.

What Zapier's MyCase integration actually does

Checked against Zapier's own integration listing as of July 2026, the MyCase integration offers:

  • 5 triggers: case, company, event, lead, or person added or updated.
  • Around 20 write actions: create a call log, case, case stage, company, custom field, document, event, expense, lead, location, note, person, practice area, referral source, task, or time entry, plus updates to cases, companies, and people.
  • Search steps: find a case, contact, staff member, practice area, and a set of find-or-create combinations.

That is a genuinely useful surface for relay automation. A new lead from your website form becomes a MyCase lead. A signed engagement letter in your e-signature tool creates a case. Those are real workflows and Zapier handles them well.

Notice what is absent: conversation. A Zap runs when its trigger fires. There is no way to sit in front of it and ask "which of my matters had no activity in thirty days?" or "summarize the Rodriguez file." The buyer who inspired this post put it plainly on our call: she found the Zapier route "extremely limited" for what she wanted, which was to use Claude as the interface and have it work with MyCase directly.

What an MCP server does differently

MCP (Model Context Protocol) is the open standard AI assistants use to work with external systems as tools during a conversation. Our open-source MyCase MCP server gives Claude 18 tools across cases, contacts, documents (including download links), tasks, calendar, time entries, billing summaries, call logs, and staff, with both read and write on the surfaces that support it.

In practice that means an attorney types questions in plain language: what is on my calendar the next two weeks, pull up this matter and summarize it, create a task on the Chen case due Friday. Claude uses the tools, asks permission before every action that touches MyCase, and the connector keeps an append-only log of every call for your records. It runs on the attorney's own machine, credentials live in the operating system's keychain, and the code is MIT licensed so anyone can read every line before trusting it.

What about Zapier MCP?

Zapier saw the same shift and now offers Zapier MCP, which exposes Zapier's action catalog to AI assistants, Claude included. It deserves an honest comparison rather than a dismissal, so here it is.

Zapier MCP inherits Zapier's model: each tool call consumes two tasks from your plan quota, and both credentials and traffic run through Zapier's managed cloud, the same infrastructure that has run their app connections for years. That design is exactly right for Zapier's purpose and it carries two consequences for a law firm. Heavy AI usage is metered, so a day of real work against your matters has a running cost, and your case data transits one more company's servers, which belongs in any confidentiality analysis whether or not it changes your conclusion.

A dedicated local connector inverts both properties. Usage is free because nothing is metered, and data moves between exactly three parties: the attorney's machine, MyCase, and the firm's AI provider under the firm's own agreement.

When Zapier is the right choice

If your workflow is a handoff between two systems with no AI in the loop, use Zapier and do not overthink it. Website lead into MyCase. New MyCase event into a Google Sheet for reporting. Intake form response creating a contact. Zapier is mature, reliable, and faster to set up for those jobs than anything custom, and no MCP server improves on it there. We tell firms this on calls because it is true.

What both paths require from MyCase

The direct API path has a gate worth knowing before you spend an evening on setup: MyCase's Open API is available on the Advanced tier only, and credentials are issued by MyCase support rather than through a self-serve developer portal. When you write to them, ask for full read and write access and include your MyCase admin email and the redirect URI from the connector's setup guide. Firms regularly stall for days on support's counter-question about access levels; asking for full read and write up front, then controlling what the AI may actually do through per-action approvals on your side, is the answer that keeps you moving.

The privileged-data question

Whatever you connect, client data is involved, so the confidentiality analysis is part of the tooling decision. Two principles carry most of it. First, count the parties: every company whose infrastructure touches matter data belongs in your analysis, and a local connector keeps that list at your machine, MyCase, and your AI provider. Second, for the AI provider itself, access is the exposure that matters, so privileged content belongs on an enterprise-grade plan with training disabled and zero data retention.
